FieldSynk holds other people's payroll records. This page says plainly what we hold, why, who else touches it and how long we keep it. It covers fieldsynk.org and the FieldSynk mobile app for iPhone and Android. Where the two behave differently — and on your voice they do — it says so rather than describing one and letting you assume the other.

1. Two kinds of information, and who is responsible

Your account information — the business that subscribes, the people who sign in, and billing details. We decide how that is handled.

Your field data — everything a contractor records about their own jobs and workers. That belongs to the contractor. They decide what goes in and what it is used for; we hold and process it on their behalf, and only to run the service.

If you are a worker whose hours appear in FieldSynk: your employer put that information there and controls it. Ask them first — we will help them, but we cannot change or release your employer's records on your say-so.

2. What we collect

To run your account: company name and address, your name, email address or FieldSynk username, phone number, role and permissions, and a record of consequential actions taken in the app (an audit log).

Field data you enter: worker names and employee numbers, hours worked and absences, classifications and pay rates, per diem, jobs and cost codes, daily logs, materials, delays, safety notes, photographs, and documents you upload.

Voice — and the two are different, so both are set out below. On fieldsynk.org, when a supervisor records a spoken daily report we keep the audio recording and its transcript and attach them to that report, so there is a record of what was actually said if a number is ever questioned. On the phone app's guided wrap-up, FieldSynk receives the text only — the words you have read on screen and corrected. That recording is not uploaded to us. Section 5 says what your phone does with it.

Crash reports: if the app breaks, it keeps a short record of what went wrong and sends it to your company's account so it can be fixed. Access tokens, keys and email addresses are stripped out on the phone before anything is stored or sent, and stripped again on the way in.

Notifications: if you turn them on, we store a notification token for your handset so the app can remind you about an unfiled day. You are only asked after you have filed one, and you can say no.

Technical: sign-in times, IP address and basic request logs, kept for security and troubleshooting.

Payment: handled by Stripe. We store a customer reference, subscription status and plan. We never see or store full card numbers.

3. Why we hold it

  • To provide the service you are paying for.
  • To keep accounts secure and separate from one another.
  • To take payment and manage subscriptions.
  • To answer support requests.
  • To meet our own legal and tax obligations.

We do not sell your data. We do not sell or share phone numbers. We do not use one customer's data to serve another. We do not use your field data to train AI models.

4. Text messages

FieldSynk texts a person only when the business employing them adds them to its own roster and chooses to send them an account-setup link. It is a one-time message containing a link to create a login. We do not send marketing texts.

Message frequency: normally one message per person — the invitation to set up their login — plus an occasional resend if they ask for the link again. FieldSynk does not send recurring campaigns and does not send marketing texts.

Every message ends Reply HELP for help, STOP to opt out. Replying STOP stops messages to that number immediately; both keywords are handled automatically on every number we send from. You can also contact us at the address at the foot of this page.

Mobile numbers and consent are never sold, rented or shared with third parties or affiliates for marketing purposes. A number is passed only to the carrier delivering that message.

5. What your phone does with your voice

FieldSynk is built around speaking your day rather than typing it, so this deserves saying separately from everything else.

On the phone app, FieldSynk never receives your audio. What reaches us is the text, after you have read it on screen and corrected anything wrong. How the speech becomes text depends on your handset:

  • Where your phone has the language installed for offline use, it transcribes without sending the audio anywhere. Nothing leaves the phone.
  • Where it does not, the phone hands the audio to its own maker — Apple or Google — to turn into words, exactly as its built-in keyboard dictation does. That is the operating system doing it, under Apple's or Google's privacy terms rather than ours. FieldSynk still only ever receives the text.

The app tells you which of the two your phone is doing. You can always type instead — everywhere you can speak, you can type.

The website is different, and deliberately so. A daily report recorded in a browser keeps its audio, as section 2 says, because the recording is the evidence behind the numbers on it.

6. What FieldSynk does not collect

  • No location. The app does not request or record GPS. Where a photo needs a place, you type it.
  • No contacts, calendar, health data or files beyond photos you choose.
  • No advertising identifiers, and no third-party analytics or tracking. There are none in either app.
  • No background tracking. Nothing is recorded when the app is closed.
  • No microphone access except while you are speaking an answer.

Pay rates and per diem are absent from the phone app entirely and cannot be shown on a handset, whoever is holding it. That is enforced in the code, not left to a setting.

7. Who else touches your data

We use a small number of service providers. They act on our instructions and may not use your data for their own purposes.

  • Supabase — database and file storage (United States).
  • Vercel — application hosting.
  • Anthropic — turns spoken and written reports into structured records. Content sent for processing is not used to train their models.
  • Stripe — subscription payments.
  • Twilio — text messages.
  • Resend — email we send you, such as invites and reports.

Data is stored and processed in the United States. We will otherwise disclose data only if the law requires it, and will tell you unless we are forbidden from doing so.

8. How it is protected

  • Encrypted in transit.
  • Every company's records are isolated at the database level, so one contractor's query cannot reach another's rows.
  • Access inside a company is controlled by role. Pay rates and per diem are restricted further — a supervisor filing hours does not see what people earn.
  • Consequential actions are recorded in an audit log.

No system is perfect. If a breach affects your data we will tell you promptly and explain what happened.

9. How long we keep it

While you subscribe: as long as you want it. Nothing is deleted on a schedule and nothing is archived out from under you.

After you cancel: the account becomes read-only and you keep full access to read and export everything, including payroll data.

One year after a subscription ends, the account and everything in it is permanently deleted — records, documents and files. We email 60 days and 7 days beforehand. Starting a plan again stops the clock. Export anything you are legally required to keep before then; some employment records must be retained for longer than we hold them.

We keep a small record that an account existed and was deleted, plus invoices we must keep for tax purposes.

10. Cookies

FieldSynk sets cookies for one purpose: keeping you signed in. There is no advertising, no tracking across other websites, and no third-party analytics on the app. Blocking these cookies will stop you being able to sign in.

11. Your choices

You can read, correct and export your data from inside FieldSynk at any time, and delete records you no longer want. If you want the whole account deleted sooner than the schedule above, ask us and we will do it.

Depending on where you live you may have rights to access, correct, delete or object to our use of your personal information. Write to us and we will help. If you are a worker rather than a subscriber, contact your employer first — it is their record.

12. Children

FieldSynk is a tool for businesses and is not intended for anyone under 16. We do not knowingly collect information from children.

13. Changes

If we change this policy in a way that materially affects you, we will tell you by email or in the app before it takes effect. The date at the top always shows the current version.
